Disposition of the IMM 1442 Generic Document – Page 2
Issue
This issue relates to the change of disposition for the multi-page “Generic Document – 4 Part Distribution” form. This form also goes by the name of the IMM 1442 form.
Background
Citizenship and Immigration Canada (CIC) has been implementing its plans aimed at modernising the current immigration processes. As a part of this plan, Citizenship and Immigration Canada (CIC) has carried out certain investigations. These investigations concern the need to continue microfilming the second page of the IMM 1442. Library and Archives Canada has confirmed that the second page of the IMM 1442 has no archival historical value. As a result, Citizenship and Immigration Canada (CIC) has decided that it no longer needs to microfilm the second page of the IMM 1442.
In the view of Citizenship and Immigration Canada (CIC), the following two systems would serve as the official records:
- The Global Case Management System (GCMS) and,
- The Field Operational Support System (FOSS)
Thus, Citizenship and Immigration Canada (CIC) believes that there is no need for preserving a physical copy of the second page of the IMM 1442. This is especially so as the records on the Global Case Management System (GCMS) and the Field Operational Support System (FOSS) would continue to remain accessible.
Instructions for Temporary Resident Processing
Currently, the Citizenship and Immigration Canada (CIC) and the Canada Border Services Agency (CBSA) offices use the IMM 1442. Earlier, they would send the second page of IMM 1442 to the Microfilm Unit of the Citizenship and Immigration Canada (CIC)’s Centre for Integrated Recorded Information in Ottawa, Ontario.
As a result of this change, the Citizenship and Immigration Canada (CIC) and the Canada Border Services Agency (CBSA) offices would no longer need to send the second page to the Microfilm Unit. Instead, they would need to dispose of the second page.
They could dispose of the second page by using:
- A Type III A cross cut security shredder or,
- A Type III B cross cut security shredder
This is in accordance with the RCMP G1-001 – Security Equipment Guide.
